Clinical Documentation Assistant: 4-Week PoC
MAQ Software
OVERVIEW:
MAQ Software deploys an ambient documentation prototype in your Azure environment, built on Azure AI Speech, Azure OpenAI, and Microsoft Foundry. It drafts structured notes from consented conversations for the clinician to review, edit, and sign, with a human in the loop at every step.
BUSINESS CHALLENGE:
- Clinicians spend more time documenting care than delivering it.
- Manual note-taking pulls attention from the patient and extends the workday into after-hours charting, a leading driver of burnout, reducing face-to-face connection and note quality alike.
KEY QUESTIONS:
- How much clinician time is lost to documentation, and what would automating the first draft reclaim?
- Can an ambient assistant accurately capture clinical conversation, including terminology and multiple speakers?
- Will generated notes meet your standards before a clinician signs them?
- What does a safe, HIPAA-aligned path to production look like?
AGENDA:
Week 1: Select a target specialty and workflow with your clinical sponsor. Provision Azure AI Foundry, Azure AI Speech, and Azure OpenAI in a compliance-aligned environment, and define note formats such as SOAP.
Week 2: Configure Azure AI Speech for ambient listening, speaker separation, and medical vocabulary. Build the transcription pipeline and capture consented pilot conversations.
Week 3: Draft structured notes from transcripts using Azure OpenAI orchestrated through Azure AI Foundry. Apply grounding and content safety checks, then route drafts to clinicians for review.
Week 4: Run pilot sessions with clinicians. Measure time saved, transcription accuracy, and note quality against your standards, and deliver findings, compliance notes, and a scale roadmap.
SOLUTION / APPROACH:
Use Case 1: Ambient Capture and Transcription: Azure AI Speech listens to consented conversations, separates speakers, and transcribes with vocabulary tuned to the target specialty.
Use Case 2: Structured Note Drafting: Azure OpenAI, orchestrated through Azure AI Foundry, drafts a structured note from the transcript. The clinician reviews, edits, and signs before it enters the record.
Data Foundation: Transcripts and drafts stay within your Azure environment, and no conversation data trains foundation models. Prompt flows and evaluation are configured in Azure AI Foundry so quality is measurable across pilot sessions.
Governance and Responsible AI: This is decision support for a licensed clinician, not autonomous documentation. Every note is reviewed, edited, and signed before it becomes part of the record, and patient consent is required before any encounter is recorded. Responsible AI checks run on generated drafts, with the environment configured for HIPAA-aligned privacy review.
