During this assessment, we will check whether your environment is technically ready for Microsoft 365 Copilot. We will focus on infrastructure, licenses, and your data.

Successful implementation of Microsoft 365 Copilot requires focus on three areas:

  • Human Change: many Microsoft 365 Copilot POCs and implementations do not lead to the desired result because they encounter resistance.
  • Workplace readiness: your organization and working environment must be technically ready for Microsoft 365 Copilot.
  • Data & Security: The AI assistant needs to know which company data is relevant and which data the user does or does not have access to.

Inetum provides the appropriate guidance for each area. In this Microsoft 365 Copilot Readiness assessment, we will focus on the Workplace and Data & Security areas:

Workplace Readiness: We will focus on the technical readiness of your infrastructure, evaluate the readiness of all your devices and develop a plan to get them ready if they are not already:

  • Are your employees' devices (laptops, smartphones, and tablets) technically ready for the correct use of Microsoft 365 Copilot?
  • Are the correct and sufficient Microsoft 365 Copilot licenses provided?
  • Have your employees already switched to the latest versions of Outlook, Teams, and other applications? An update may be necessary before you can activate Microsoft 365 Copilot.
  • Have you provided a non-disclosure agreement for the use of Microsoft 365 Copilot by your employees? You can include an additional clause for this in the general terms and conditions of use for Microsoft 365. This will remind your employees that they must handle the information they process or obtain via Microsoft 365 Copilot with care.

Data & Security: The successful use of Microsoft 365 Copilot depends entirely on the data available to the AI assistant. This means that using Microsoft 365 Copilot comes with a data challenge: on average, only 20% of all data within a company is relevant. The remaining 80% is outdated, no longer current, and therefore often simply incorrect. Inetum supports your organization in managing data securely, efficiently, and in accordance with the rules. This starts with a well-thought-out policy covering the entire data lifecycle. We will first assess your organization's maturity and based on our findings, we will create a plan to build a strong framework for data governance. With Microsoft Purview, your organization will be fully compliant with all legal obligations regarding privacy, security, and regulations.

  • Life Cycle Management: this is how you keep your data up to date and relevant. An automatic cleaning process removes outdated data. It ensures that Microsoft 365 Copilot only works with relevant data. At the same time, you save on storage costs because you no longer keep useless data.
  • Labeling: this ensures the correct classification of your data. A label indicates, among other things, the confidentiality of the data, on which you then base the use, protection, and management of your sensitive data. You can automate this exercise using Microsoft Purview.
  • Metadata: this gives you insight into who the owner of a document is, who is responsible for updating the data, and so on.
  • Get rid of data sprawl: Microsoft 365 Copilot only uses data that is shared and available. Therefore, avoid employees storing data locally on their PC or in a personal OneDrive. That data is not labeled and is not available to Microsoft 365 Copilot.
