ProcureSenz Implementation – Description, Deliverables & Outcomes

ProcureSenz is an intelligent, end‑to‑end procurement management solution built on the Microsoft Power Platform. It streamlines purchase requests, approvals, purchase orders, supplier management, Letters of Authorization (LOA), invoice processing (with AI data capture), and goods receipts—while synchronizing key data with Microsoft Dynamics 365 Business Central for accurate reporting and compliance.

What we do during the engagement (Scope of Work)

• Discovery & Design: Process walkthroughs, fit–gap analysis, solution blueprint, and data model design in Dataverse.
• Build & Configuration: Power Apps (Canvas/Model‑driven) for PR/PO/GRN flows; Power Pages portal for suppliers and stakeholders.
• Automation: Power Automate flows for approvals, notifications, document routing, and exception handling.
• AI & Document Processing: AI Builder for invoice data extraction and validation (optional based on scope).
• Integration: Real‑time/near real‑time sync with Microsoft Dynamics 365 Business Central (where applicable).
• Security & Governance: Environment setup, DLP policies, role‑based access, and audit enablement.
• Reporting: Power BI dashboards for spend, cycle time, and compliance insights.
• Testing & UAT: Unit/system testing, UAT support, and defect remediation.
• Enablement: Admin and end‑user training, runbooks, and knowledge transfer.
• Go‑Live & Hypercare: Deployment assistance and post‑go‑live support window.

• Configured ProcureSenz application (Power Apps, Power Pages, Power Automate, Dataverse).
• Supplier self‑service portal (registration, profile updates, PO/invoice interactions).
• Automated workflows for PR/PO, approvals, notifications, and invoice intake.
• Dataverse schema & security model with environments and DLP policies.
• Dynamics 365 Business Central sync setup (if in scope).
• Power BI reports for procurement KPIs.
• Documentation (solution design, admin guide, user guide) and training sessions.

Licensing & Environment Requirements

The following Microsoft licenses are required for production use (procured separately):

• Power Pages license for vendor/supplier portal users (external users).
• Power Apps license for internal users accessing ProcureSenz (per app or per user, as applicable).
• Power Automate license for a service account used to run flows and send system emails/notifications.

Optional/if applicable: AI Builder capacity for document processing; Dynamics 365 Business Central licensing/connectors for integration; Power BI licensing for report consumers.

Assumptions & Customer Responsibilities

• Customer provides timely access to environments, data, and SMEs for process validation and UAT.
• Non‑production and production environments are provisioned under customer tenancy with required licenses.
• Email domain and security policies allow automated notifications from the designated service account.
