Information Architecture is the way an organisations information is grouped, the navigation methods and terminology used. An effective Information Architecture enables people to step logically through a system confident they are getting closer to the information they require. Organising content into a structure that people are able to navigate intuitively is essential, otherwise they run the risk of creating great content and functionality that no one can ever find.

Typically, an Information Architecture can be viewed as 3 logical layers of information and content:

• Organisation Wide Content: a modern communications hub is for information and content to be shared across the whole organisation. Organisation wide communication hubs are commonly implemented using Viva and SharePoint Online.
• Teams Content: for information or content to be shared among a team, where that be a department, project or other logical grouping of people in an organisation. Microsoft Teams is typically used as the technology for this purpose.
• Personal Information: for personal content not shared, or in a draft form prior to sharing, sometimes referred to as “my files” are typically stored in OneDrive For Business.

The methodology leverages Microsoft best practice, global research and our own experience with customers across a wide range of commercial and public sector organisations. The methodology pivots both on the technology, user experience and change management aspects of such implementations.

The design methodology includes a review, envisioning and design phases, executed through a series of workshops together with tools and techniques that Spanish Point have developed. We utilise specialist Spanish Point resources where required e.g. a User Experience (UX) Design Consultant to meet your for look and feel requirements.

Our Information Architecture design methodology approach is broken down into following phases :

1. Review: defines the business goals and objectives; the target audience; existing content and assets, site structure and navigation
2. Envision: review/agree personas; define end user engagement strategy; Microsoft Office 365 component capabilities and use case scenarios; design likes/dislikes; identify key content and apps
3. Design: Information Architecture document (site structure, site maps, navigation design, taxonomy, content strategy); Look & Feel (wireframes; sample template review; composite of key pages); Infrastructure & environment
